Receptionist/Administrative Assistant

Job Function

Virginia Health Information’s (VHI’s) part-time Receptionist/Administrative Assistant provides administrative support to the company. Duties include general office support, clerical, receptionist and project- based work. Project a professional image through in-person and phone interaction.

Qualifications

  1. Excellent written and verbal communication skills
  2. Naturally organized, precise and detail oriented
  3. Ability to quickly shift gears, adapt to changing needs and juggle multiple priorities effectively and efficiently
  4. Microsoft Office Professional (Word, Outlook, Access, Excel, Powerpoint, Publisher)
  5. Minimum high school diploma and 1-3 years professional and/or college experience
  6. Works well in a team environment with VHI staff and external stakeholders as well as a desire to work in person in a small office environment

Job Duties and Responsibilities include but are not limited to

  1. Meet and greet clients and/or visitors and have all complete sign in sheet
  2. Answer telephones and assist caller or transfer to appropriate VHI staff member
  3. Review and channel mail, correspondence and other deliveries to appropriate personnel
  4. Receive and log all incoming checks
  5. Maintain office supplies and draft supply purchase orders; order supplies online and/or shop at retail store after written approval is obtained from COO/CFO
  6. Coordinate and attend Board and other committee meetings; draft meeting minutes
  7. Assist staff in formulating communications, reports, VHI programs, policies and procedures
  8. Perform other required typing, filing and other general clerical duties such as photocopying, scanning, mailing
  9. Schedule, coordinate and make arrangements for VHI meetings including lodging, reservations, catering services, set up and clean up
  10. Conduct needed travel arrangements for CEO and staff
  11. Assist with marketing and communication efforts including social media posts and seminars
  12. Support various staff team building events including birthday and holiday celebrations
  13. Maintain interior plants and assist with courtyard clean up and/or landscaping
  14. Take trash cans to curb
  15. Perform related projects and duties as assigned by COO/CFO
