Summary

The Administrative Coordinator supports VHI staff, Board of Directors,
vendors and stakeholders through a broad range of administrative and organizational responsibilities. This position helps ensure efficient business operations by coordinating organizational activities, maintaining administrative processes and contributing to a positive and productive work environment.

Key Responsibilities

1. Support Board of Directors and Executive Committee activities and meetings, including scheduling, materials, documentation and logistics

2. Sort, distribute and log all incoming mail and packages

3. Serve as the primary point of contact for coordinating facility maintenance

4. Support a positive work environment for staff by replenishing office snacks,
orchestrating staff birthday celebrations and collaborating with other administrative team members to plan team building events

5. Maintain and order office supplies as needed

6. Maintain office cleanliness

7. File and maintain accounts payable and accounts receivable records in alignment with VHI’s record retention policy

8. Update miscellaneous annual registrations/renewals as needed

9. Perform other administrative duties as assigned

Qualifications & Experience

  • 1 to 3 years of experience providing administrative support or a related degree
  • Highly organized, precise and detail oriented
  • Able to quickly shift gears, adapt to a changing and evolving environment and juggle multiple priorities effectively and efficiently
  • Comfortable executing administrative tasks such as scheduling and maintaining
    correspondence with stakeholders
  • Self-motivated with the ability to work independently and as part of a team
  • Proficient in Microsoft Office Suite and Google Suite

Working Arrangement

This is a part-time, in-person position based in VHI’s Richmond, Virginia office. The position is scheduled to work on-site Monday through Thursday. Remote work is not available for this role.

Benefits

This position is eligible for paid time off and participation in VHI’s 401(k) retirement plan. This position is not eligible for medical, dental, vision, life, or disability insurance benefits.

Compensation

$26–$31 per hour, depending on qualifications and experience. This is a part-time position averaging 20 hours per week.
