Overview

VHI’s Client Support Coordinator plays a key role in ensuring successful interactions by managing communications with data clients and serving as a liaison between clients and internal program teams.  This role helps facilitate clear, timely communication and supports the effective delivery of services to meet client needs.

Key Responsibilities

  1. Serve as the primary point of contact and first level of support for current and/or prospective data clients.
  2. Execute data release processes for clients from initial request to delivery of data, including:
    • Hosting introductory calls
    • Managing inbox communications
    • Acting as a liaison between clients and internal analytical and operational teams
    • Preparing and presenting materials to the All-Payer Claims Data (APCD) Data Release Committee
    • Preparing and sending legal agreements, invoices and other support documents
    • Guiding data delivery, including setting up MFT access
  3. Follow up routinely with existing data clients, including:
    • Ensuring payment is received
    • Inquiring about and documenting data destruction
    • Inquiring about and documenting research/publication outcomes
    • Monitoring data access
  4. Field other ad hoc client requests as needed.
  5. Provide administrative support for VHI’s financial operations related to data clients and program participants, including sending out and following up on invoices.
  6. Provide general support to VHI’s administrative team by opening and distributing weekly mail.
  7. Perform other administrative and/or programmatic duties as assigned.

Qualifications and Experience

  • 1 to 3 years of experience providing operational/program support (within healthcare setting is a plus) or relevant post-secondary education
  • Highly organized, precise and detail oriented
  • Able to quickly shift gears, adapt to a changing and evolving environment and juggle multiple priorities effectively and efficiently
  • Comfortable executing administrative tasks such as scheduling and maintaining correspondence with stakeholders
  • Self-motivated with the ability to work independently and as part of a team
  • Proficient in Microsoft Office Suite and Google Suite
  • Proficient in Monday.com or similar project management software is a plus

Location

This is a hybrid position based out of VHI’s office in Richmond, Virginia with an in-office requirement on Monday and Tuesday and a remote option for all remaining workdays.

Salary
